About these prompts

These business prompts handle the writing around the work itself: turning meeting notes into decisions and action items, following up after a sales demo, and answering a customer who is unhappy. Each is a reusable template with fields in square brackets for your notes, facts and limits.

They are built to keep you accurate under time pressure. The meeting prompt flags missing owners instead of guessing them, the sales prompt answers concerns rather than skipping them, and the complaint reply promises only what you said you can offer. Each one is written for ChatGPT, Claude or Gemini in that assistant's preferred structure.

How to use these prompts

  1. 101Paste your raw materialPut the real input into the fields: the meeting transcript, your call notes or the customer's message in full. The prompts are designed to work from messy source material.
  2. 202Set your limitsFill in what you can and cannot offer, what pricing was discussed and who attended. Those fields stop the assistant from promising or assuming things for you.
  3. 303Review, then sendRead the output once as the recipient would, fix any placeholder such as [OWNER?], and send it from your own email or tool.

Questions

1Is it safe to paste meeting transcripts or customer messages?
That depends on your company's rules and the assistant's data settings. Remove personal details you do not need, and check whether your workplace allows the assistant you are using.
2What happens when my notes are incomplete?
The prompts tell the assistant to mark gaps instead of filling them, for example [OWNER?] or [DATE?]. You fill those in, or ask the right person, before sharing the result.
3Can I turn these into team templates?
Yes. Save a filled version with your company's details and voice, and share it with the team so everyone only changes the fields that differ each time.
4Do I need a paid AI plan?
No. These prompts work on the free versions of ChatGPT, Claude and Gemini. Very long transcripts may need to be split into parts on free plans.
